    ePermit

    CUNY e-permit allows students to request permission from their Home college to take some classes at other CUNY colleges called Host colleges.  E-permit is an online form in CUNYfirst.  Most Baruch students can self-apply for e-permit via their CUNYfirst Student Center, and so they should.  First Semester New and Transfer Students are unable to self-apply until they earn an official Baruch cumulative GPA.  More details to follow.

    *** First and foremost, courses taken on e-permit must meet students’ current degree requirements to graduate from Baruch College.  Furthermore, Baruch students must complete 60% of Major courses as well as all Capstone courses strictly at Baruch College (in-residence).  No Exceptions.  Review your DegreeWorks audit for more details.

    Understanding Home versus Host College

    Home College – The college where students are matriculated (pursuing a degree).
    Host College – The college where students would take classes in order to transfer the credits back to the Home College.

    The E-permit Process – An Overview (more details to follow)

    • Baruch students, please read this entire web page carefully before starting to apply in CUNYfirst.  Research course equivalency and course availability ahead of e-permit portals open.
    • Students should inquire at the other (Host) college for enrollment dates assigned to Incoming E-permit Students, check requisites for their course, and procedures governing CUNY students on e-permit at their college.
    • Wait for Baruch College and the applicable Host college(s) to open up its own e-permit portals. Make sure there are no issues or holds in your account.
    • Fill out the e-permit form(s) correctly and completely.
    • E-permits that you submit successfully wait in a queue for Baruch (Home) College’s review and decision. Some courses require review from a second level committee.
    • If Baruch (Home) College grants permission, the status of the form will update to Approved. The other (Host) college’s decision does not appear in the form.  System-generated emails will notify the other (Host) colleges to review for registration access.
    • Upon review and if registration access is granted by the other (Host) college, students may try to self-enroll into the approved course via their Student Center in CUNYfirst.
    • *** NOTE:  If Baruch (Home) College denies/cancels the e-permit, that e-permit form will not receive further consideration.  All Denied/Cancelled forms are final.  It is not possible to reactivate them. The other (Host) college would not receive notification for Denied/Cancelled e-permits.
    • *** IMPORTANT:  Approved e-permits are for the Host college, Host course, Host Session, and Home course stated specifically in that approval form.  Any deviation from the approval will be invalid.  The invalid credits will be for your personal record and will not transfer back to Baruch College.

    There are No Guarantees.
    Students who apply for e-permit are taking a chance.  Submitting e-permits does not guarantee approval permission, and approval permission does not guarantee (nor save) seats at any Host colleges or at Baruch College.

    Eligibility Requirements for ePermit

    1. Students must be matriculated (pursuing a degree) and are eligible to enroll for classes at Baruch College for the related Term.  (Visiting students and Non-Degree students are ineligible to apply for e-permit. These individuals would apply directly to the other college as Non-Degree students.)

    NOTE:
    I. After you filed for graduation, a future Term will not be available to register for classes nor to apply for e-permits.  You would need an active term to apply. Revision of the Graduation Term may be necessary.  Visit the Graduation page for more details.

    II. Baruch College will discontinue matriculated student accounts if they do not enroll in classes for one or more major Terms (FALL or SPRING).  These individuals will not receive future Terms to enroll in courses.  They must apply for Reentry to Baruch College in order to continue to take courses to finish their degree.

    III. We do NOT recommend students to go out on e-permit, Non-CUNY permit, or study abroad during their final semester.  If issues arise in retrieving and posting these grades, it may jeopardize your graduation. You cannot graduate with open records in your Baruch record. Missing or INC grades are examples of open records.

    2. Undergraduate students must be in Good Academic Standing; have a cumulative GPA of 2.00 or higher in their Baruch College official transcript.  No exceptions.  There is no rounding of GPA.

    3. Graduate Students must be in Good Academic Standing; have a cumulative GPA of 3.00 or higher in their Baruch College official transcript.  No exceptions.  There is no rounding of GPA.

    4. Students must have no negative service indicators (Holds) that restrict enrollment activity in their records.  Review ‘Holds in CUNYfirst and E-permits’ section for more details.

    5. Students must meet all Baruch College registration requirements, such as residency and immunization/vaccination.

    6. All prerequisites must be completed or in progress before you submit e-permits for review.  Please check the desired courses’ Enrollment Requirements (prerequisites, co-requisites, anti-requisites) at both Baruch College and the Host college.  We check requisite requirements manually.  If any parts of the requirement is missing, the e-permit will not receive approval.

    7. First Semester New Students (Undergraduate and Graduate) cannot receive e-permit approval.

    * Exceptions:  Macaulay Honors College, Reserve Officer Training Corps (ROTC), and CUNY-Baccalaureate for Unique and Interdisciplinary Studies (CUNY-BA) students.

    * First Semester New Students must take classes at Baruch College and wait for all first semester grades to post to CUNYfirst in order to apply for e-permits for subsequent Terms.  The e-permit system should become accessible provided you meet all the above requirements at that time.  These students will still need to adhere to e-permit application deadlines.  We do not extend deadlines for reasons of not having all grades posted in time to submit e-permits for review.

    First Semester New M.H.C., CUNY-BA, or ROTC Students:
    * New M.H.C. and CUNY-BA students, please speak to your program’s advisor to discuss your interest in applying for e-permit.
    * New ROTC students seeking to take MSCI classes, please email Epermit@baruch.cuny.edu for initial screening.  Your email should include the same information as provided for the Transfer Students in Item #8.
    * Please note, conditional permission may be granted only if all relevant requirements (excluding GPA) stated above have been met.

    8. First Semester Transfer Students interested in taking e-permits during the first semester only:

    After your Baruch Enrollment date & time begins as well as both Home and Host college’s e-permit portals are open, please use your Baruchmail email to contact us [ Epermit@baruch.cuny.edu ] with the below information for initial screening. If you need to research ‘Course Equivalency’ first, please review that section located a few tabs below this one.

    • I am a First Semester Transfer Student interested in taking an e-permit during my first semester.

    * First Semester Transfer Students interested in taking e-permits during subsequent Terms must wait for all first semester grades to post to CUNYfirst in order to self-apply in CUNYfirst.  The e-permit system should become accessible provided you meet all the above requirements at that time.  These students will still need to adhere to e-permit application deadlines.  We do not extend deadlines for reasons of not having all grades posted in time to submit e-permits for review.

    ePermit Application Deadlines

    Find e-permit application deadlines on the Registration Dates and Deadlines calendar.

    We will publish E-permit Application Deadlines as soon as we can make a determination for the exact date.  To give you an idea, typically deadlines are within the week before the relevant Session starts.  Check the web page periodically.  Actual dates will be available on the web page way before the deadlines.

    E-permit portals will officially close after the deadlines have passed.  Please do not submit e-permits on short notice.  The chances of getting a decision for last-minute e-permit applications before the Session starts are low.  If you must submit e-permits last minute, please be reminded that there is already an active queue before your submissions.  Hence, we will not and cannot prioritize e-permits at the end of the queue ahead of ones submitted much earlier.  Thank you.

    We try our best to get through the queues so students would receive the appropriate decision in a reasonable time, but we cannot guarantee a review to meet certain deadlines, before courses close, before the Session or Term starts, or before the last day to add/swap classes.

    * Other CUNY college’s Sessions and deadlines may not be in-sync with Baruch College.  The earlier deadlines will take precedence.

    Holds in CUNYfirst and ePermits

    * If you have any negative service indicators that restrict adding or swapping courses, you must clear it with the office that placed the hold before you apply for e-permits.  You should locate the details of the Hold and any related instructions on how to reconcile your account, and what Term(s) the Holds may affect.  The blue hyperlink in the Holds section will have more details.
    Some examples of Holds: Advisement, Athlete, Bursar, Dean of Student, Dismissal, Honors, Library, Orientation, Probation, etc.

    * These negative holds affect eligibility for e-permit at any time before you receive a decision in the e-permit form.  Make sure to check your account’s Holds section on a regular basis, even after you successfully submit e-permits.

    *** NOTE:  Academic Plan Status is not a negative Hold.  It has no impact on enrollment.

    * Service Indicators placed by other CUNY colleges have no impact on your Baruch account nor enrollment capabilities and vice versa unless it is a Universal hold (code starts with a ‘U’).

    Credit Limits on ePermits

    Students can take a combined schedule load of Baruch and e-permit courses up to the credit limits per Session / Term stated below.

    Fall Term: 18 credit units max    (Additional credits need credit overload permission.)

    Winter Session (Session within Spring Term): 7 credit units

    Spring Term (Regular Session): 18 credit units max    (Additional credits need credit overload permission.)

    Summer Sessions: Two courses per Session, up to 8 credit units.  Session 3 counts as one Session 1 and one Session 2.

    If e-permit courses will push the Session credit load above the maximum limit, students should adjust their schedule (“make space”) to accommodate for the number of e-permit credit units before they apply.  If there is insufficient “space”, we cannot add the corresponding e-permit codes required for the approvals, so we will deny the e-permits.  Additionally, students cannot use e-permit approvals to swap out of already enrolled courses at Baruch College nor touch the said e-permit billing/credit codes.  Permission and seats are not a guaranteed.  Students should drop courses with extra caution.  If you prefer not to take this risk, please do not apply.

    For Example:
    OK | 12 Baruch credits + 3 e-permit credits (PERM-3) = 15 credits
    OK | Zero Baruch credits + 6 e-permits credits (PERM-6) = 6 credits
    NOT OK | 16 Baruch credits + 3 e-permit credits = 19 credits.   Exceeds credit load limit.

    Baruch students must complete 60% of Major courses as well as all Capstone courses strictly at Baruch College (in-residence).  No Exceptions.  Review your DegreeWorks audit for more details.

    Credit Values between Host and Home
    The number of credit units transferable for each course will be the value assigned by the Host college, not the Home college.

    See examples below:
    Host: 3.00 cr.  | Baruch (Home): 3.00 cr.  >> Transfers back as 3.00 cr.
    Host: 3.00 cr.  | Baruch (Home): 4.00 cr.  >> Transfers back as 3.00 cr.
    Host: 4.00 cr.  | Baruch (Home): 3.00 cr.  >> Transfers back with 3.00 cr. attached to the Home course, and the excess 1.00 cr. will be Elective Transfer Credit.

    Course Equivalency and Availability

    E-permit course equivalency is based on the already established CUNY Transfer Rules evaluated by the Home college.  Students can utilize the tools in the Transfer Explorer website to research course equivalency at any time.  E-permits with incorrect course equivalency are due for denial.

    **Sending College:  The college that will be offering the courses.
    **Receiving College:  The college where the credits will transfer back to.  [Baruch College students must select ‘Baruch College’ for this prompt.]

    *HOW DOES THIS COURSE TRANSFER*
    Follow the prompts to select the correct options to search for equivalency correctly.

    * If you experience difficulty using the Transfer Explorer tools, please email us at Epermit@baruch.cuny.edu . Use your Baruchmail email and include your 8-digit EMPLID.  Please be specific and concise.  We highly recommend for you share screen captures of the issues or errors you encountered to help us troubleshoot the situation more efficiently.

    * Students must first research course equivalency and then course availability to determine if there is an equivalent and whether the other (Host) college will be offering that class in the session that you want to enroll in.

    * Use Schedule Builder or Class Search or Schedule of Classes to check course availability.  If the host course does not exist in the Host Session in which you will enroll, do not submit it for review.  Realistically, you cannot take a course that will not be taught.  When the Host college will not offer the course in the Session/Term, we will deny the request.

    Please disregard any mention of the Admissions Transfer Service website or TIPPS to research course equivalency.  These are outdated resources.

    When to Apply and Processing Time

    When to Apply

    * E-permit does not open individually on student’s enrollment date & time. Typically, Baruch’s e-permit portal opens for the entire student body after the initial week of the start of registration.

    For example, SUM 2022: Baruch College registration started on 4/4/2022 and we opened e-permit portal the following week, on 4/12/2022 at 9:00 AM.

    * NOTE: Summer and Fall Terms e-permit portals typically open in mid-April.  Winter and Spring Sessions e-permit portal typically opens in mid-November.  The exact dates are determined closer to the start of registration.

    * We do not have purview over other colleges’ opening dates (nor deadlines) for e-permit.  If you want to inquire, you must contact that respective college.

    Students can start to submit e-permit forms when:

    * Your Baruch Enrollment Appointment has begun.   and
    * Baruch College e-permit portal has officially opened.   and
    * The particular Host college e-permit portal has officially opened.

    Locate your Baruch Enrollment Appointment

    Login to CUNYfirst  >  9.2 Student Center  >  Schedule Builder  >  WELCOME page  > Select the applicable Term  >  Locate applicable college (Baruch College)  >  Enrollment Appointments  >  Make note of the Date and Time 

    Host Session: Unavailable or Error in Red

    If ‘Host Session’ is unavailable for the Host college you selected, that college’s e-permit portal is not currently open.  Both Home and Host college portals have to be open to create and then submit an e-permit.  Please either contact the Host college for their opening date(s) or keep trying until the Host Session becomes available.

    Processing Time at Baruch (Home) College

    E-permits are date & time stamped and will wait their turn in the queue.  The estimated turnaround time is at/within 10 BUSINESS days (weekends, holidays, and college closings are not business days).  E-permit processing time will fluctuate during the open submission period.  This is normal and dependent on many factors.  Students must check the inside of e-permit forms regularly for any relevant notices or status updates.  If your e-permit does not receive a decision AFTER TEN BUSINESS days, please contact us via email to inquire.

    To uphold fairness and reduce delays, we work through the established queues and do not accept requests for expedited or prioritized services.  To help us process at a reasonable time frame, please read this entire web page to familiarize yourself with (outgoing) e-permit before submitting the requests.  Please note, only issue-free accounts would receive approval.  Otherwise, requests are due for denial.

    ***NOTE: Host college processing time is not within our purview, differs among colleges, and is dependent on their current workload.  All colleges require ample time to process e-permit requests.  We collectively thank you for your patience and understanding.

    Checking the Status and Details of Your ePermit

    Students should check the status of submitted out-going e-permits in their CUNYfirst account regularly.  There are NO automated email updates or notifications.

    Approved ePermits: What to Expect

    Once an ePermit is approved by Baruch College:

    • The Status of the e-permit form will show ‘Approved’ and would include relevant comments or notes.
    • Conditional approvals require students to meet certain terms/conditions.
      • If terms/conditions are unmet before the e-permit class starts, the approval will automatically become invalid.  You should not use invalid e-permits to enroll in classes, and you must cancel the Approvals.  Please review the ‘Cancel E-permits (Dependent on Status)’ section for more details
    • We will add a corresponding ‘PERM (or CUNBA)’ billing/credit code in the student’s Baruch College schedule.
      • Only the E-permit Unit in the Registrar’s Office should add or remove PERM (or CUNBA) codes.  These are not actual courses so attendance is not expected.
      • Multiple codes may appear in the schedule to show the total number of approved credit units. (For Example, PERM 3 and PERM 4 indicate seven credits approved for e-permit.)  E-permit approvals are included in the credit count towards the Session/Term’s credit limit triggered by this PERM (or CUNBA) code.  Review ‘Credit Limits and E-permits’ and ‘Tuition and Payment for E-permit Approvals’ sections for more details.

    Waiting for Host College Decision on Registration Access

    Students must wait for the Host college to give a decision for registration access on their end.  Most Host colleges will inform students of a decision via email.  Usually, these emails will include a good deal of helpful information, so do not skip over them.  Remember to check your student email Inbox as well as the Junk Email/Spam folders.

    Upon approval, an appropriate Host College Term and Enrollment date & time will be available in your CUNYfirst account.  Make sure to check the Enrollment start date & time assigned by that particular Host college.  Check for Holds in your account before attempting to self-enroll.

    Locate your Enrollment Appointment at Host College

    Login to CUNYfirst  >  9.2 Student Center  >  Schedule Builder  >  WELCOME page  > Select the applicable Term  >  Locate applicable Host college  >  Enrollment Appointments  >  Make note of the Date and Time 

    Self-enroll at Host College

    When your Host college enrollment date & time begin, login to your CUNYfirst account to try to self-enroll for the Host course in the Host Session stated specifically in the approved e-permit form only.

    If issues arise during self-enroll, capture the error message and reach out to the Host college for assistance.  All registration issues (enrollment appointment, pre-requisite, credit limit, closed course, etc.) occurring at the Host college must be followed up with the Host college because Baruch College does not have access to update, override, or change another college’s system or policies.  We, the Home college, absolutely cannot help you in this respect.

    How to Enroll for Courses in CUNYfirst

    “Schedule Builder is a real-time class scheduling tool that enables students to plan and register for courses that meet their schedules and other needs.  With this tool, students can easily arrange class schedules that fit their personal and academic lives.”

    Once Schedule Builder becomes the official method/tool to build schedules, CUNY will turn off the CUNYfirst ‘Add/Swap/Drop’ features in students’ accounts. Please familiarize yourself with Schedule Builder by reviewing the guides and videos available here 

    Confirm the Status of the courses in your schedule for the Host college. Make sure you understand whether you are ‘Enrolled’ or just ‘Wait-listed’ in the courses.  You do not officially have a seat in the course (not Enrolled) if you enlist in a Wait-list or do not finalize the enrollment procedures.

    IMPORTANT:
    * Submitting e-permits does not guarantee automatic approval.  Students must go back and check the status and details of their e-permit forms.  These forms are viewable from your student account up until the end of the Term for the requests.  Review ‘Checking Status and Details of Your E-permits’ for more details.

    * Students cannot save or apply e-permit approvals to a different class, college, Host Session, or Term.  Cancel e-permits you will no longer use.  Then, submit a new e-permit for which you will try to enroll in the course.  Please be mindful of e-permit application deadlines.  Review ‘Cancel E-permits (Dependent on Status)’, ‘Add E-permits (Detailed Steps and Images)’, and ‘E-permit Application Deadlines’ sections for more details.

    * Baruch students should not finalize enrollment at any other college/institution ahead of getting final pre-approval by the E-permit Unit in the Registrar’s Office. Credits are not eligible to transfer back and we are not mandated to accept them if students do not receive the permission prior to enrollment.  If your intention is to transfer credits back to your Baruch record, it is your sole responsibility to make sure the courses you will enroll in already have matching permit approvals in your account.  Any deviation from approved permit forms will automatically become invalid.  Invalid or non-approved credits will be for your personal record only and so will not transfer back to your Baruch record or degree.

    Tuition and Payment for ePermit Courses

    PERM (or CUNBA) billing codes will appear in the corresponding Baruch (Home) schedule at the time the e-permit receives approval.  Billing codes will add e-permit tuition and related fees to your Baruch account immediately.  We base the calculation of e-permit tuition on the number of credit units (not credit hours) assigned to the Host course.  The Host college will request Baruch College for the funds owe by e-permit students directly.  Please pay for these e-permit charges at Baruch (Home) College.

    Students pay for any other fees pertaining to specific courses directly to the Host college (Examples of such fees: material fees, change of program fees, late registration fees, etc.).

    *** NOTE: Requests for community colleges will NOT generate less tuition per credit unit.  The tuition rates are the same as courses enrolled at Baruch College.

    Adjustments of ePermit Tuition Charges

    If you did not enroll in any e-permit courses or if you drop courses before the first day of the Session or Term, you can request to remove the e-permit charges from your Baruch account.  Review ‘Cancel E-permits (Dependent on Status)’ section for more details.­

    *** E-permit Tuition Liability

    Drop courses before the Session begin to have zero tuition liability.  Dropping courses on or after the first day of the Session or Term will incur tuition liability in accordance with the Host college’s tuition refund calendar (liability schedule).  Pay attention to the academic calendars at Baruch (Home) College and the relevant Host colleges. (For Example: 25%, 50%, 75% and 100% tuition liability)  Friendly reminder, when you drop courses during the ‘W’ withdrawal period, there is no tuition refund.  You are liable for 100% of the tuition charges.

    Financial Aid and ePermits

    Students eligible for financial aid must apply through their home college and are responsible for meeting all academic course and credit load requirements.

    TAP and ePermits

    If you are a candidate for financial aid (especially TAP), you must take courses that are applicable for your Baruch degree.  TAP funds can only cover courses that meet your degree requirements.  Please review DegreeWorks and make an appointment to speak to an Academic Advisor to make sure any e-permit courses you are interested in are required for your current Baruch degree.

    NYS Higher Education Services Corporation (HESC) requires students to take at least 12 credits that count towards their stated degree in order to qualify for full-time TAP.

    TAP Compliance Form

    Registrar’s TAP Compliance Unit encourages students who are taking one or more e-permit courses with pending TAP awards to submit a TAP Compliance Form for review regardless if your schedule has 12 or more credits of compliant Baruch courses.

    Baruch College DegreeWorks and FACTS are unable to identify e-permit approvals and enrolled Host courses as meeting (or not meeting) degree requirements for TAP.  FACTS will flag your courses as non-compliant as long as there is one e-permit billing code in your schedule.  Hence, your eligibility requires manual review by the TAP Compliance Unit.  Submit a TAP Compliance Form as instructed by the unit in the link below.

    Cancel E-permits (Dependent on Status)

    Drop Courses in CUNYfirst
    If you no longer want to take courses at any college (Baruch College included), please make certain to successfully drop them in your CUNYfirst account.  If you need permission to drop certain courses, please contact the appropriate office at that particular college for assistance.  Do not rely on system cancellation or system drop processes to remove you from courses you no longer wish to take.  If you want to cancel, you must drop Wait-listed courses as well.

    “PERM (or CUNBA)” codes seen in your Baruch schedule are for e-permit billing and credit count purposes.  These are not actual courses.  Students do not add or drop these codes.  Do not touch them.  Students should only add or drop e-permit courses at the other (Host) colleges in CUNYfirst.

    ***** Status: Approved *****

    IMPORTANT:
    * Please, cancel with extra caution.  After we cancel Approved e-permits, they will no longer be valid and Status changes to “Cancelled”.  Currently, Cancelled (or Denied) e-permits are final.  It is not possible to reactivate them.

    * It may take about 2 – 4 business days to process (excludes weekends, holidays/college closings, and non-business hours).  We will notify you after the cancellation is complete.  ​

    * Without the email, your e-permits stay as Approved and your Baruch account will have the proper e-permit charges.  Please take action as soon as you can.  We need sufficient time to process all requests and respond to emails.​

    E-permit Tuition Liability

    Instructions to Cancel
    To cancel multiple approvals, please send all e-permit information in one single email.  Only send us the email when you are 100% sure of your decision to cancel the approvals.

    If you only click ‘Cancel’ in approval e-permits or only drop the other college’s course, it is not sufficient to reconcile your Baruch account.  We need you to send an official email notification.  Please continue reading.

    * If you are ‘Enrolled’ or ‘Wait-listed’ in the other (Host) college’s courses, you must drop them first.  Make sure the drops are successful.* If you are not ‘Enrolled’ nor ‘Wait-listed’, move directly to the next steps.

    * Login to your Baruchmail email.  

    * Compose an email with the statement ‘I would like to officially cancel the approved e-permit(s) indicated in this email.’ along with your 8-digit EMPLID and a screen capture of each Approved e-permit form that is available for review in your CUNYfirst account.

    * Email it to Epermit@baruch.cuny.edu

    ***** Status: Initiated or Pending Committee Approval *****

    * You must cancel all Initiated or Pending e-permits that do not require further consideration.  If they continue to appear in the e-permit queues, we will review them accordingly.  If there are no issues in your forms or record, the e-permits will receive approval and we will bill the tuition to your Baruch account immediately.

    * Inside each Initiated or Pending e-permit form, there will be a ‘Cancel’ button.  Review ‘Checking Status and Details of Your E-permits’ section for more details.  If the button is not there, you must have clicked it at an earlier date/time already.

    Click ‘Cancel’ with Caution.  This Action is Final.
    * Initiated e-permits will instantly update to ‘Cancelled’ after the page refreshes.  The system would remove the e-permit from its current position in the queue.

    * Pending e-permits will not update immediately, but the ‘Cancel’ button should disappear on your end.  That particular form has no option for approval.  The Status will update to ‘Cancelled’ after we click it one more time on our end.

    Receiving ePermit Credits and Grades

    Grades and credits of approved e-permit courses will transfer back to your Baruch record.  E-permit grades will calculate with your Baruch cumulative GPA.  Once again, any deviation from the approved e-permit form, the invalid credits will not transfer back.

    Requirement Designations
    E-permit courses will transfer back with the in-residence Baruch course Requirement Designation.

    For Example:
    Lehman |  ECO 166 (Macro-Economic)    |   FISR :  NO
    Baruch   |  ECO 1002 (Macro-Economic)  |   RLA :  YES

    If you want the Host course’s Requirement Designation to transfer back with the approved Baruch course/equivalent, you must clearly state your intentions at the time you are filling out the e-permit form.  Use the Comments section.  If after the fact, you would need to file an Appeal for consideration.

    Time Frame to Transfer Grades to Baruch College
    After Baruch’s Final Grade Submission Deadline, we personally review and transfer several hundred grades back for students who have approval to go out on e-permit.  It can take an estimated 10 business days to update a student’s Baruch College CUNYfirst record.  (Review the academic calendar for important dates.)

    Where to Find E-permit Transfer Credits
    1) End of your Baruch College Unofficial Transcript – ‘Other Credits’

    2) CUNYfirst > 9.2 Student Center > Academic Records > View Transfer Credit Report (Other Credits: Baruch College)

    *** NOTE: Grades will post alongside the Baruch course/equivalent per the Approved e-permit, not to the PERM billing codes (except for W, WD, WN, and WU grades- these will post to both).

    Other Credits and E-permits
    CUNY-BA:  Baruch College does not transfer your credits back as direct Baruch equivalents. The appropriate CUNY-BA office processes the transfer of e-permit grades for CUNY-BA students.

    Study Abroad:  Students must send transcripts directly to the Director of Study Abroad, not the Registrar’s Office.  Please review Baruch College Study Abroad Office’s Additional Study Abroad Requirements page for more details.

    Incomplete Grades
    Incomplete (INC) grades will transfer back to your Baruch College record as such.  However, you have a time period to resolve that ‘INC’ grade with the professor.  Inquire with the Host college what that time period is.  At the end of the applicable time period, unresolved INC grades should update to a Failure of Incomplete (FIN) grade.  ‘FIN’ is punitive, and does calculate as an ‘F’ in your Baruch GPA.

    Grade Changes or Grade Posts Past Grading Deadline
    After the Host college posts or officially changes grades in CUNYfirst, your Baruch record does not update instantly.  For all approved e-permit grade changes or grades that are posted past the grading deadline, students must inform us via email at Epermit@baruch.cuny.edu so we may review and adjust your Baruch record accordingly.

    Credit Values between Host and Home
    The number of credit units transferable for each course will be the value assigned by the Host college, not the Home college.

    See examples below:
    Host: 3.00 cr.  | Baruch (Home): 3.00 cr.  >> Transfers back as 3.00 cr.
    Host: 3.00 cr.  | Baruch (Home): 4.00 cr.  >> Transfers back as 3.00 cr.
    Host: 4.00 cr.  | Baruch (Home): 3.00 cr.  >> Transfers back with 3.00 cr. attached to the Home course, and the excess 1.00 cr. will be Elective Transfer Credit.

    DegreeWorks and E-permits

    Students will attempt e-permit courses at another CUNY college.  Baruch College DegreeWorks (online advisement tool) and Transcripts will only pull information from students’ Baruch CUNYfirst record.  The system uses “PERM” billing/credit codes in place of the actual Baruch class that would transfer back after completing the Host course (passing / failure/withdrawal / INC grades all transfer back).

    After Baruch’s Final Grade Submission Deadline, we personally review and transfer several hundred grades back for students who received approval to go out on e-permit.  It can take an estimated 10 business days to update a student’s Baruch College CUNYfirst record.  (Review the academic calendar for important dates.)

    DegreeWorks will update periodically to pull in new information from CUNYfirst.  Typically, grades will post to the approved Baruch home equivalent/courses, not the “PERM” codes (withdrawal grades are posted to both though).  In DegreeWorks, PERM codes listed under the ‘Insufficient Grades’ section have no (negative) impact on the student’s GPA or record.  These e-permit codes will remain in CUNYfirst for record-keeping (billing and credit count purposes) indefinitely.

    After we transfer the credits back to your Baruch record, CUNYfirst and DegreeWorks will pull the information to its rightful place.  If you notice any errors thereafter, then you may follow up with us at Epermit@baruch.cuny.edu .

    IMPORTANT: Students must complete 60% of their Major courses as well as all Capstone courses at Baruch College (in-residence).  Review your DegreeWorks audit for more details.

    Common Issues to Avoid | Reasons for Denial

    All Denied (or Cancelled) e-permit forms are final.  It is not possible to reactivate them.  Here is a list of common issues you should avoid in your e-permit forms and Baruch record.

    Issue 1: The Form is Missing the Baruch Home Course/Equivalent

    Review ‘Add E-permit (Detailed Steps and Images)’ section for more details.  Follow the instructions in the guide that matches your Career/Program.  For Example: CUNY-BA  OR  Undergraduate  OR  Graduate

    *** NOTE:  CUNY-BA cohort is not required to provide Baruch Home Course.  E-permit credits will not transfer back as a direct Baruch College course/equivalent.  As so, CUNY-BA students DO NOT enter a Baruch equivalent.

    Issue 2: Credit Load Concerns
    Review  ‘Credit Limits and E-permits’ section for more details.

    Issue 3: Already Enrolled in the Baruch Course

    If you have already enrolled (have a seat) in the course you are requesting for e-permit, do not apply. Students should not enroll in equivalent courses at multiple colleges regardless if it is in the same or different Sessions/Terms.  Either take the course at Baruch College or drop it from your schedule and then submit the e-permit for consideration.

    E-permits do not guarantee permission or seats at any college.  Hence, drop courses with extra discretion.  For that reason, we highly recommend students keep their seats and take the course at Baruch College.

    Issue 4: Received Failure Grade in Previous Attempts at Baruch College

    The F-Repeat Policy does not apply to courses taken on e-permit.  If you intend to replace failure grades (F or FIN) you received at Baruch (Home) College, you must retake the same courses at Baruch College. F-replacement at Baruch College is not applicable to courses with ‘Failure’ grades that you took or received outside of Baruch College.  More information about “Repeating Courses” is available in the Baruch College Undergraduate Bulletin.

    If you are NOT looking to replace failure grades, you need to clearly state in your e-permit request at the time you apply.  Enter the following statement in the ‘Comments’ section in the form.
    ___“I understand this e-permit will not replace the failing grades from previous attempts for this Baruch course. The failing grades will remain in my Transcripts and will also be calculated in my Baruch GPA.”

    Issue 5: ‘Permit Type’ Concerns

    Pick the permit type closest to the requirement you are trying to fulfill for your Baruch degree.  Review your DegreeWorks audit for more details.

    * Major Elective?  [There is a Major Electives section in DegreeWorks.]

    * Pathways:   [There are Pathways sections in DegreeWorks. Pathways information is available here .]
    __ College Option?  [Can select this type for Minor non-Capstone courses.]
    __ Flexible Core?
    __ Required Core?

    * CUNY Baccalaureate?  [Select this only if you are a student accepted into the CUNY Baccalaureate for Unique and Interdisciplinary Studies program.]

    * Study Abroad?  [Select this only if you are using the e-permit for a Study Abroad program sponsored by another CUNY college.]

    * General Elective?  [If none of the above fits, select this type.]   [For Example: Pre-Weissman Core, Foreign Languages,  Zicklin Pre-Business courses, Zicklin Business Base courses, MSCI courses, etc.]

    Issue 6: Requests for BUS 2000, COM 3021, MTH 1023, MTH 2003, MTH 2009, MTH 2205 or MTH 2207

    Do not request these courses on e-permit.  Currently, there are no courses offered at other CUNY colleges to transfer back as the aforementioned Baruch courses.  Hence, Baruch students must complete these said courses at Baruch College.

    Issue 7: Attempted the Baruch Course Three (or Four) Times

    E-permits will not be issued for courses that have been attempted three times at Baruch College nor for which have transferred into Baruch College totaling to three attempts (such as on e-permits).  An appeal for a fourth (and final) attempt is required, but approval is not a guarantee.  Students should not request in excess of the fourth and final attempt.  It will not receive approval.

    Issue 8: The Baruch Course is In-Progress, Has Earned a Passing or INC Grade, or Attempted with No Grade Posted

    Requests for courses that have earned passing grades or an unresolved grade of INC will not receive approval.  This policy also applies to an “INC” grade assigned to a pre-requisite for the course you want to take on e-permit.  Students must take/passed all prerequisites prior to submitting e-permit requests.

    Typically, requests for courses that have earned passing grades of “A” to “D”, “P” or “CR” will not receive approval.  Such courses are non-repeatable; not for additional credits nor a better grade.  Learn more about the repeat policy.

    FYI: A course ‘In-progress’ or is waiting for a grade is not considered completed nor passed.

    Issue 9: Requests for Capstone Courses

    Students must complete All Capstone courses at Baruch College (in-residence); Major, Minor or College Option .
    Review your DegreeWorks audit for more details.

    Issue 10: One E-permit Form Has Multiple Rows | Multiple Forms for the Same Baruch Course
    Each e-permit form should only have one row of Host college and course. You may add a second row for science courses to enter corresponding Lecture and Lab components in one single e-permit form.  Only make use of this when the Host college’s Lecture and Lab courses are separate credited components. (For Example: Lecture is 3.00 cr. & Lab is 1.00 cr.)

    If you submit multiple e-permit forms for the same Baruch Home course, only one request will be considered for approval.  We will review such e-permits in order of receipt.  If no issues arise, the first of these e-permits will receive approval while the remaining requests are due for denial.  Please only select your FIRST choice school and pre-check the Host course for OPEN sections before you submit the e-permit.

    Issue 11: Wrong Term or Session | Zero Sections Offered
    When you apply for e-permit, pay attention to the Term selection.  For Example, You should use a Summer Term form for Summer courses and Fall Term form for Fall courses.

    Additionally, Host Session is very important.  Make sure you pre-check Class Schedule or Schedule Builder to find out what Sessions the course you want to enroll in will be available.  For Example: If the course is available in Winter Session, do not select Spring Regular Academic Session and vice versa.

    *** NOTE: If a course is not offered at all (zero sections offered), please DO NOT submit an e-permit request for that course.  Realistically, you cannot take a course that will not be taught.  Thank you.

    Issue 12: Apply for Graduation | E-permit for Trimester Colleges

    Firstly, we do NOT recommend students to take courses on permit or study abroad in their final semester as it may jeopardize their graduation if the Host college does not post grades in time to finalize your record to confer/award your degree.

    Secondly, Spring Term Degree Conferral date is June 1.  Graduation Audits need to be completed before the conferral date (June 1).  Kingsborough, LaGuardia, and Guttman CC Spring Sessions end in MID-JUNE.  Baruch College will not award Degrees when there are open records in the student’s account.  Missing or INC grades are examples of open records.

    *** IMPORTANT:
    If you happen to receive special permission to e-permit courses that may not match with a degree requirement, especially in your final semester, consider the following points before you apply for these courses.  If you go forward with the enrollment into these courses, you are taking full responsibility for any negative effects this may have on your record/account.
    __* All e-permit grades (passed / failure / INC ) will have an influence on your Baruch GPA or record regardless if the courses are NOT going toward your current degree.

    __* If INC grades or no grades are posted at the other (Host) college, your Baruch account will have open records that could jeopardize your graduation for your current degree regardless if the courses are NOT going toward your current degree.

    __* Typically, the college cannot award students their degrees when there are outstanding grades in their record.  E-permit is a part of your Baruch record regardless if the courses are NOT going toward your current degree.

    Want to Take Pre-requisites on E-permit? You Need to Know This.

    If you decide to take pre-requisite courses on e-permit, these courses cannot satisfy requisite requirements for registration into next sequence courses until we transfer back a passing grade to your Baruch College CUNYfirst record.  You cannot save seats at any college.  Therefore, you will take on this risk at your own discretion.

    You may take certain pre-requisite courses on e-permit.  However, Baruch College’s system cannot detect such courses are in-progress at another college.  The different college’s systems do not interconnect in such a way to accommodate requisite checks among courses at the different colleges.  Additionally, the feature to Swap classes does not work across colleges either. You may only swap classes within the same college.

    Typically, e-permit course grades/credits will have to transfer back to your Baruch CUNYfirst record first in order to enroll for courses in the next sequence or to further request e-permits for courses in the next sequence.

    *** NOTE: When you successfully enroll in the next sequence courses because you have a seat in the pre/co-requisite at Baruch College, but then decides to drop the pre/co-requisite and take it on e-permit, CUNYfirst will determine that you no longer meet the enrollment requirements to keep the next sequence courses.  It is highly possible that ‘Post Enrollment Requisite Check’ jobs will flag the next sequence courses in your account and drop them from your schedule before the Session/Term begins

    Taking Courses Outside of CUNY

    Baruch matriculated students may take some courses at a Non-CUNY college to go toward their degree requirements. Non-CUNY permits are not permissible to any community college regardless if it is a SUNY or private institution.

    If your intention is to take courses in order to transfer the credits back to your Baruch record, please fill out an Outgoing Non-CUNY Permit Application for review.  Download an Outgoing Non-CUNY Permit Application from Registrar’s website.  Make sure to review the entire two-page ‘Requirements’ and application carefully.
    If you want to take Non-CUNY courses for your own personal reasons, apply to that college directly as a Non-Degree student.  Under this status, you do not need to notify us.  This would mean that these personal credits are not eligible to transfer back to your Baruch record/degree.

    Registration Applications:  Outgoing Non-CUNY Permit

    Students must fill out the application and send it to the respective Department Chairperson in order to have him/her evaluate a Baruch equivalent and sign the form.  Course Description / Syllabi from the Host college must be included when you contact the Department Chairperson for review.

    Graduate students must consult with their Graduate program’s advisor about taking courses on permit.  Your advisor will determine whether taking Graduate courses on permit to have the credits transfer back to Baruch College is permissible. Include your advisors’ approval (if granted) when sending the completed form for Registrar Office final approval.

    Submit the completed forms to the Registrar’s Office and allow 3 – 5 BUSINESS days for processing.  We will notify students at their Baruch email of the decision (or any issues) pertaining to the application.  We would like to reiterate that students must send applications to us before the deadlines and prior to enrollment in courses at other colleges.  Review the Registration Dates and Deadlines Calendar for Session deadlines.

    *** IMPORTANT:

    Credits are not eligible to transfer back when Baruch students finalize enrollment, at other colleges, with no matching pre-approval from the E-permit Unit in the Registrar’s Office.  We are not mandated to accept these credits.  If your intention is to transfer credits back to your Baruch record, it is your sole responsibility to make sure the courses you will enroll in already have matching permit approvals in your account.  Any deviation from approved permits will automatically become invalid.  Invalid or non-approved credits will be for your personal record only and so will not transfer back to your Baruch record or degree.  Please also review the ‘Recommended vs. Official Permit Permissions’ section for more details.

    Non-CUNY course grades will post to your Baruch record if you receive at least the minimum grade stated in the requirements page, but it will NOT calculate with your Baruch GPA.  It will neither help nor hurt your Baruch GPA.  However, keep in mind there are some degree requirements that do require a minimum GPA.  If unmet, this can greatly affect your progress in the Major/degree.  If courses fall into these categories, please consider them before applying for the permits.

    As a friendly reminder, please note that students must complete 60% of their Major courses as well as all Capstone courses at Baruch College (in-residence).  Review your DegreeWorks audit for more details.

    Please pay for Non-CUNY permit courses (tuition and fees) directly to that other college.  Since these charges are separate from your Baruch tuition/fees, if you have any concerns about whether financial aid would cover these Non-CUNY courses, please direct these concerns to the Baruch Financial Aid office

    Recommended vs. Official Permissions

    Verbal or email permissions from other offices/staff are NOT official approvals for permit credits to transfer back to Baruch College.  If you were recommended or advised to take courses on a permit, please apply accordingly and wait for a final decision from the E-permit Unit in the Registrar’s Office.  Review this entire web page and pay special attention to ‘Add E-permits (Detailed Steps and Images)’ and/or ‘Taking Courses Outside of CUNY’ sections for more details.

    *** NOTE:  New Transfer Student’s credit evaluation is a different process than a Baruch College student interested in taking classes at other colleges to transfer the credits back.  Baruch students have an obligation to follow Baruch College’s rules and regulations if the intent is to transfer outside credits back to your Baruch record.  For example, do not believe that going back to the college you previously attended to take courses will receive automatic approval.  Always check with the E-permit Unit in the Registrar’s Office if you cannot find the answers to your concerns on this e-permit web page.

    Required Business Courses on E-permit

    Outgoing ePermits are allowed for required business courses at the 3xxx level or above only when the requests are to complete the courses at an AACSB-accredited institution.

    The academic calendar for Host ePermit college may not be in sequence with Baruch’s academic calendar. This may delay the registration process for next-level courses.

    What is Reverse Transfer?

    Reverse Transfer (for CUNY students) FAQ

    “A student who has transferred to a baccalaureate institution from a community college without first earning an associate degree might still be able to earn that associate degree. With Reverse Transfer, credits earned at the baccalaureate institution that meet and complete the academic credentials of the associate degree are “transferred back” from the four-year institution to the two-year institution.”

    As described, Reverse Transfer does not utilize E-permits to go back to your previous community college to finish your associate degree.  Students must complete the relevant course at their current four-year institution.

    As already mentioned on this page, credits are not eligible to transfer back when Baruch students finalize enrollment, at other colleges, with no matching pre-approval from the E-permit Unit in the Registrar’s Office.  We are not mandated to accept these credits.  Invalid or non-approved credits will be for your personal record only and so will not transfer back to your Baruch record or degree.

    Incoming Epermit Students

    Students matriculated at other CUNY colleges who are planning to take courses at Baruch College, please continue reading.

    After your Home college approves your e-permit, Baruch’s processing time for incoming e-permits is estimated to be five to seven business days.

    Incoming e-permit students will receive status updates and instructions from Baruch College at their home campus email that is on file in CUNYfirst.  Check Inbox and Junk Email folders.

    Undergraduate natural science courses and Graduate courses in Zicklin business disciplines require a longer wait time as there is a need for further review by the respective departments.

    The following courses offered by the Zicklin School of Business are NOT open to incoming e-permit students due to the limited availability of seats.  No exceptions.
    * 3000-level and above Accounting and Finance courses (except FIN 3000)
    * 9000-level Accounting and Taxation courses
